  • Possibility to track other CRM users appointments from their calendars

    Dear team,

Recently we experience the following issue and we receive an confirmation by Microsoft Dynamics 365 Engineer that the behavior is expected.

This is why we would like to forward this idea to you, hoping that this will be available one day.

We have a person in the company managing other peoples calendars (such as Managers, VPs, CEO, etc.). This person create an appointments in their calendars.

However when he tries to "track" or "set regarding" for an appointment created early, he receive an error message "you can't track an appointment that was created by another user".

What is interesting is that the appointment can be "track" or "set regarding" if you do it before saving it.

What is really important in our company (an for sure in many others) is that every appointment is associated with a company or person (most of them having record in our CRM Online organization), this is why it is important to track each appointment with the related Account, Lead, or Contact.

Since this is by design issue we think that it is commonly used by big companies and maybe many of them found a workaround on this, but will be nice if CRM itself can achieve the same.

    Kind regards

  • Dynamics App for Outlook to track entire communication with external users

The following issue has been raised by multiple customers: *User A sends and email from Outlook to User B and track the first email regarding an CRM Account "Microsoft" *Open Sales > Accounts > Microsoft > Activities - the first email send to User B is tracked and visible *User B replies to User's A first email *Open Sales > Accounts > Microsoft > Activities - Email 1 is visible > Reply 1 is visible *User A replies to User's B first reply *Open Sales > Accounts > Microsoft > Activities - Email 1 is visible > Reply 1 is visible > Reply 2 is not there *User B replies to user's A reply *Open Sales > Accounts > Microsoft > Activities - Email 1 is visible > Reply 1 is visible > Reply 2 is not there > Reply 3 is visible *If you open the entire communication by double click on the email in CRM, the entire communication is visible User's personal settings are set: Email messages in response to Dynamics 365 email Microsoft Dynamics CRM doesn't treat the emails send by User B as Dynamics emails and there doesn't track them in the Activities section of the selected account. However, as i customer who select to track the entire communication in Dynamics CRM from the very first email with that external user, I'm expecting the entire communication to be tracked and each reply to be recorded as a separate activity for the account that it is "set regarding" A lot of Dynamics users are communicating with clinets outside of the company or CRM in general. When decide to track the email with Dynamics App they would like to have a record of earch email send or received by this external user's to Dynamics CRM.
  • Search limitation using App for Outlook

Recently we found and confirm a limitation with Dynamics App for Outlook when searching for a record by name. If we have 30 Accounts called "Microsoft" (each one of them is in a different city around the world and has different address), then track new email from OWA or Outlook using Dynamics App for Outlook, "set regarding" for the email and then search for "Microsoft", from the list of available results I will receive the TOP 10 results only. As we already mentioned, we have 30 Accounts with the same name, but only 10 will appear in the search results in the App for Outlook when set regarding. The above can be reproduces on both On-premise CRM 8.2.2.339 and Online 8.2.2.339 and 449 versions. Since this is not happening on version 9.0.2.xxx for CRM online this seems to be a critical limitation for big companies using Dynamics CRM. My opinion on this is that if i need an account called "Microsoft" and same is in "France" which is not in the top 10 results, there is no way for me to specify in the search that I need that record. Thats why there is a need of changing the search behavior to either show up all results associated with the search criteria or to have additional option "show more records" when more than 10 results are available based on the criterias.
  • Track Outgoing email in Dynamics App for Outlook on MAC

as per MS article https://docs.microsoft.com/en-us/dynamics365/customer-engagement/outlook-app/deploy-dynamics-365-app-for-outlook#feature-support-per-client. Dynamics App for Outlook for MAC can only track Received email. I will be good if there is an option also to track Outgoing emails as on Windows version.
  • Change the root entity name to custom one

In Dynamics CRM we can create a custom Entity (let's say Companies), this will take information from Accounts (since Accounts is the default name). In Dynamics CRM app for Outlook we can see that the entity is visible (Companies), but when I click to search for a record I can still see that it's pulling the information from Account. It will be good if this can be either hidden or have the chance to change it (even if it's only on UI) as it is confusing most people.
  • Change the default preview filed for entity

In Dynamics 365 App for Outlook if we open a record (Account) for example we have the option to see additional information about this record. When we select for example Contact, we have preview information displayed under the name of it such as phone number and Related account. We would like to be able to have the option to change this field or add-additional one and when we hover the mouse over the record in the App for Outlook to see different information such as email address, or country, city, etc. It will be great if we can add additional fields to the default one, but if not possible only changing the default 2 with a different one is also an option. As for different entities, different companies have different fields that are primary for identifying this record among the others.
  • Export Dynamics 365 CRM Audit History

Recently I had a case where I had to clear extra storage on my instance as it was reaching its limit. I decided to download the Auditing History from Dynamics CRM as it was around 20GB. I noticed that there is not possible (supported) way to download the auditing history from Dynamics CRM Online (either as an excel of another type of format). In many companies audits need to be kept for a long period of time for security purposes, so people cannot just go to their instance and deleted the entire history just to free up some space. I don't understand why such of important option (to download the entire history) is not available in a product that most of the actions are corporate important and requires auditing for security and historical purposes. Please consider the possibility in the NEAR future to allow system administrators or system customizers to download the audit log history from Dynamics CRM in order to remove it after that and free up some space on the instance.
