In Dynamics 365, email auto‑tracking is currently controlled at the mailbox and user level, without the ability to filter tracking behavior based on specific senders or domains.


In real-world scenarios, especially in environments integrating with external systems (e.g., automated systems, or third‑party services), emails are often sent in multiple instances to different recipients. When multiple internal users or queues have auto‑tracking enabled, each mailbox independently tracks these emails, resulting in duplicate Email activity records in the timeline.


There is currently no out-of-the-box functionality to exclude specific senders or domains from being auto‑tracked, even when the customer can clearly identify that these emails should not be tracked or should only be tracked by a single mailbox.


Proposed Enhancement

Introduce a configurable filtering capability at the mailbox or organization level to:

  • Exclude emails from specific:
  • Email domains (e.g., @example.com)
  • Email addresses (e.g., noreply@external.com)
  • OR define tracking rules such as:
  • Track only if sender NOT IN list
  • Track only if sender IN approved list
  • Optionally allow prioritization:
  • Only one designated mailbox (e.g., queue) tracks emails from certain domains
