Idea Description:

We have a strong business need to manage events that contain multiple sub-events or “sessions” in diverse locations, each requiring its own registration form. For example, during a week-long event like Milan Design Week, our brands may host multiple sub-events (VIP, press, standard, etc.), each designed for different audiences. The out-of-the-box Event Management capabilities are currently too limited for this scenario, as they do not allow for a seamless setup of custom registration forms that automatically synchronize with session data while updating registration counts accurately.


Key Challenges:

  1. Non-Standard Sessions: Our brands often require unique configurations per session within a single overarching event. We need a way to set up and manage these multiple sessions more flexibly than is currently possible.
  2. Custom Registration Forms: We frequently rely on custom forms to collect additional data and handle complex rules. The standard registration forms do not fully address these needs, leading us to build custom flows for essential tasks like updating the “registration count.”
  3. Duplication and Data Consistency: Even with Real-Time Marketing improvements, managing complex session structures and forms can create data inconsistencies, duplicates, or a need for additional custom logic to merge records.


Requested Enhancements:

  1. More Flexible Session Management: Provide native functionality to create and manage sessions that can each have their own registration settings, while still connecting to one parent event record.
  2. Extended Registration Form Capabilities: Allow deeper customization of the out-of-the-box registration forms (e.g., adding advanced custom fields, tailored logic, conditional sections) without losing the native ability to update counts.
  3. Improved API and Flow Integration: Offer built-in connectors or actions that automate session registration and increment counts, reducing the need to maintain extensive custom flows.

Business Impact:

  • Reduced Need for Custom Code: Less reliance on custom flows and forms means more predictable updates during platform changes.
  • Better Participant Experience: Users can sign up for exactly the sessions they are eligible for, creating a more personalized journey.
  • Consistent Data: Automatically updated registration counts for each session reduce manual errors and data discrepancies.


By integrating these enhancements, Microsoft could greatly improve Real-Time Marketing’s flexibility for organizations that host complex, multi-session events. This would help us—and many other organizations—eliminate constant workarounds and enable a more seamless, out-of-the-box solution that aligns with real-world event management scenarios.
