By law we need to retain all comms sent to or received from our customers in Australia & NZ for at least 7 years. That includes all the emails sent from CIJ.
We need to be able to prove who sent the email, when, at what time, to whom, what email (copy, layout, transactional v. commercial, correct dynamic data etc.).
We've just been told that it's at the discretion of Microsoft to delete after a year the emails and recorded interactions we sent from CIJ ie. they won't appear anymore in the contact or lead timeline after a year and they won't be saved anywhere.
We are currently forced to develop a custom solution to bridge that gap so that our CS, Sales, Marketing and Legal teams can view, search and export the exact emails sent from CIJ over the last 7 years.
This requires to be able to store the HTML email templates themselves as well as the dynamic data as it was at the time of the send (ie it may have been modified after the send of the email) and all the metadata.
This should have been an OOB feature from day 1. And be very explicit in the documentation.
Note the same would apply to any channel used eg. SMS etc.
