Problem Statement
Currently, the Reverse Transaction action available on the General Ledger Entries page only reverses entries that belong to the same Transaction No. as the selected entry. When a posting creates multiple Transaction Nos. within the same G/L Register, users experience partial reversals even though all entries belong to the same posting register. Microsoft has confirmed that this behavior is currently by design.
To fully reverse all related entries, users must navigate to the G/L Registers page and use Reverse Register instead.
Business Impact
This creates significant usability challenges:
- Users typically identify accounting entries using the Document No. from the General Ledger Entries page.
- The G/L Registers page is not as user-friendly for locating specific documents.
- Users can reasonably expect the Reverse Transaction action to reverse all entries related to the posting they are reviewing.
- Partial reversals can lead to confusion, additional training requirements, and increased risk of operational errors.
- Customers have reported that the current process is more complex and less efficient than previous behavior.
Suggested Enhancement
Option 1
Add a new Total Reverse Transaction action to the General Ledger Entries page, allowing all entries belonging to the same posting/register to be included in the reversal, even when multiple Transaction Nos. exist. This would provide users with two distinct options: one for partial reversals (Reverse Transaction) and another for complete reversals (Total Reverse Transaction).
Option 2
Provide a direct navigation action from General Ledger Entries to the corresponding G/L Register, allowing users to easily locate and reverse the complete posting without manually searching for the register.
