Problem Statement
In the current D365 HR Leave & Absence design, time‑off requests are validated only against the minimum balance and the current/available balance at the time of submission. The system does not validate requests against the employee’s annual leave entitlement. As a result, organisations must choose between allowing employees to book leave beyond their entitlement or restricting all future‑dated leave until sufficient accrual has built up. Both outcomes are operationally challenging and hinder effective annual leave planning.
This issue is further amplified for organisations using daily leave accruals, especially where employees transition between part‑time and full‑time working patterns during the year. These changes alter accrual rates mid‑year, creating discrepancies between accrued leave and annual entitlement. This often leads to employees unintentionally overbooking leave, even when their total entitlement should act as a natural limit.
Proposed Capability
Introduce an optional, out‑of‑the‑box entitlement‑aware booking guardrail that:
- Prevents employees from booking more time off than their annual entitlement (after considering carry‑forward, forfeitures and already‑approved/pending requests), and
- Still allows employees to book leave before it is accrued, enabling future‑dated planning within the entitlement envelope.
Under this enhancement, the system would enforce entitlement-based validation while continuing to support daily accrual patterns and flexible working arrangements. Employees would be able to book ahead confidently without exceeding their entitlement, and organisations would avoid overbooking issues without relying on manual checks, manager policing or custom solutions.
This capability would significantly improve accuracy, fairness and compliance for employers who depend on dynamic accruals and variable work schedules.
