Issue:

Currently, there is no out-of-the-box capability within Dynamics 365 Customer Voice for customers or administrators to view the remaining response capacity for their tenant. To estimate the remaining responses, administrators are required to perform the following manual steps:

  • Retrieve the Dynamics 365 Customer Voice Activity Report from the Microsoft 365 Admin Center.
  • Review the tenant's licensed entitlement (1,000 default responses per month, plus any additional add-on capacity licenses).
  • Manually calculate: Licensed Capacity Consumed Responses = Remaining Capacity.

 

This process is time-consuming, only produces an approximate result, and remaining capacity can change rapidly. As a result, customers face the risk of unknowingly exceeding their entitlement, which may lead to lost survey responses and gaps in customer feedback data.


Proposal

Introduce a native Response Capacity view within the Power Platform Admin Center or the Microsoft 365 Admin Center, providing:

  • Real-time display of Used vs. Total responses for the current billing month.
  • Licensing breakdown showing base entitlement and add-on contributions.
  • Configurable threshold alerts (for example, at 80%, 90%, and 100% consumption).

 

Business Benefits

  • Prevents unnoticed exhaustion of response capacity and associated data loss.
  • Eliminates the need for manual calculation and reporting by administrators.
  • Reduces the volume of support tickets related to licensing and capacity inquiries.
  • Aligns Customer Voice with the visibility standards already available for other Power Platform resources, such as Dataverse and Power Automate.
