Case : Car number plate linked to resource ID

Problem definition: Due to privacy law , financial clerks may not post costs related to a car number plate (company car) knowing the employee driving the car at that moment.

My example: Fuel costs related to company cars

Situation: On the monthly bill , there will be different lines related to different number plates. Per number plate , the monthly costs will be shown.
e.g. : €100 for 1 VPN 498
€ 250 for 3 XYZ 789
Total bill VAT excl. : € 350

Entry by financial clerk: Financial Clerks will post the purchase invoice making use of 2 lines , the first line of €100 will be posted to the fuel car G/L account making use of dimension value 1 VPN 498 and so on.

The clerk may not link the number plate to the employee due to privacy reasons.


Solution: Make it possible for the internal administrator (HR) to link the number plates to the right resource ID.
Advanced Option: Make it possible to de-link the resource plate and link it to another resource ID making use of time dependent factor.
Another possibility: Make it possible to link the number plate from ...to a specific date .

Desing solution proposal:
In the resource card (in my example resource ID 786 which stands for Arslan Khan => create a function "link to dimension values". >
In the new page make sure the user can select a specific dimension code. >>
After selecting the dimension code (in my example: Car Number Plate) >>>
The user may select the possible dimension values from a dropdown (in my example 1 VPN 498)>>>>

To make it time-dependent (advanced feature). Create a function called "Time Dependent Links" .

After clicking on that link
The user may give in "date from" and "date to" and "resource ID" to differentiate . For instance I want to give in
01/01/2021 and 30/06/2021 and resource ID 733 which stands for Bill Gates. >>
Autosave .
The feature will automatically update the resource card of Bill Gates. and the system will automatically delink the dimension values and link it to Bill Gates from posting date 01/01/2021 upto 30/06/2021.
Leaving the field "date to" blank is possible, it means Bill Gates is driving the company car attached to number plate 1 VPN 498 from 01/01/2021 without having an ending date.
Above mentioned time feature is advanced and optional to use. Can be very practical aswel.

Having this feature , lot of added value for management accounting reporting purposes.
