We would like to submit an enhancement request regarding the Retention Policies functionality in Microsoft Dynamics 365 Business Central.
The Retention Policies feature is used to automatically delete records from specified tables based on configured retention periods and selected date fields. During our implementations, we have observed that a single retention policy execution is currently limited to deleting a maximum of 10,000 records across all tables included in the run.
This limitation is becoming increasingly problematic as more customers actively implement data retention and cleanup processes to improve GDPR compliance and overall data management. Many customers have tables containing large volumes of historical data, often up to millions of records, while certain logging and telemetry tables can accumulate more than 10,000 records per day.
In these scenarios, the current Retention Policies functionality is not sufficient to keep pace with the volume of data being generated. Even when following the current recommendation of scheduling retention processing daily through a Job Queue during non-production hours, the backlog of records eligible for deletion continues to grow over time instead of decreasing.
We would therefore like to request an enhancement that enables the Retention Policies functionality to handle significantly larger cleanup volumes. Possible approaches could include:
- Increasing the current limit of 10,000 deleted records per run substantially.
- Allowing the retention process to execute repeatedly within a configurable time window until no eligible records remain.
We believe this enhancement would greatly improve the usability and effectiveness of Retention Policies for customers with high transaction volumes and large historical datasets, while helping them meet their compliance and data governance objectives.
