(*Not using advance warehouse management) Given a scenario, for example, when the output is produced with a batch number. Then, it will go for quality check. The QA will split the pass and fail quantity in the quarantine order and validate the quality order. In the standard environment, batch disposition is updated based on the latest validation of quality order. It means only one batch disposition status can be update in one batch number. Let's say we validate the pass quantity first, batch disposition status is updated to available. Next, when we validate the fail quantity, the batch disposition status is updated to unavailable. Based on standard, generally, one batch number can only have one status (either available or unavailable). As of now, transferring the failed quantity to another batch number (give a new batch number) is the best option in this case. However, we think batch disposition should allow multiple status as it is not practical to give a new batch number due to traceability issues. Also, it is a basic requirements for process manufacturing industries.

Based on my statistics, there are 4 cases reported every week caused from this workaround. As this workaround is not an automation, then we expect to faced this issues regularly. This is something to worry and to take note. The probability of this cases to happen is very high because the system is updated by multiple person every time. It is not specific to one person.

We eagerly hope, Microsoft can consider our request and issues. I believe it will strengthen Microsoft product (D365) in the market. For your information, in the future, we might also have projects with similar business processes. We cannot give the same excuses if the clients ask us for this tracking features. Microsoft has a good reputations in the market. Let’s make D365 the best ERP system together!

2. More and more human error
• Failed quantity is registered during quarantine order
• User will split available and unavailable quantity during quarantine order
• Most cases, user overlook the steps to register unavailable quantity to a new batch number during the quarantine order, and just end the quarantine order
• Thus, additional steps to manually create transfer journal to separates the batch number

3. Hinder the concept of batch number for tracking purposes
• Batch number is use for tracking purposes
• Giving a new batch number is not practical as it cause the tracking to be suspended because the origin of the batch number is unidentified
• The details from inventory transactions for the newly given batch number is also unclear
• In some business cases, given a new batch number is unacceptable

4. Department interrelated issues
• The process involves multiples departments that includes production team, quality assurance team and sales team
• If there is human error within this departments, that it will impact all departments
• Common cases include ‘System reserved failed quantity in sales order due to quality assurance team overlook the steps to define new batch number’. In this case, the sales team need to manually reserved the item again. Manual again!
• Report as finished report is not accurate. In case, where quality assurance team overlook the steps to define new batch number, then the report will exclude the information for the unavailable quantity.

1. The workaround is tedious
• User need to define a new batch number to separate the available and unavailable quantity
• This makes the process more complicated, longer and cause delay as there is no automation on this part for now
• Registering and validating 1 batch number to a new batch number takes around 5 minutes. 1 batch order can have up to 50 batch numbers. In a week, there will be up to 20 batch orders. That will be 1000 batch numbers in a week. And it can increase by time.

Workaround flow
Batch number Quantity Quality check New Batch number Disposition code
B0001 1000 Pass – 800 B0001 Available
Fail – 200 B0001-R Unavailable
Favourable flow
Batch number Quantity Quality check Disposition code
B0001 1000 Pass – 800 Available
Fail – 200 Unavailable

Based on the workaround given by Microsoft support engineer, we decided to give it a try. Based on our 5 months of using the system with this workaround, not surprise, users and operations are experiencing several impacts due to this issues. Here, I provide some of the impacts of this issues;-

We understand, based on my conversation with Microsoft support engineer, batch number is somehow unique, thus the status also should only specific to one either available or unavailable. However, I believe for our clients and to most of the D365 customers that has similar business processes will eventually agree that Microsoft need to take a step forward to consider multiple batch disposition status for a single batch number. I also assume that Microsoft realized this requirements is essential to businesses as you had introduced ‘inventory status’ functions for advance warehouse management. In our case, we are not using advance warehouse management, thus we have limited capabilities to use the inventory status functions. Instead, we are using batch disposition code functions. By using inventory status functions, a single batch number can have multiple status either available or unavailable. By logic, batch disposition code also should functions the same as inventory status.
