When an email is tracked through Dynamics 365 App for outlook it does not show track icon against that email Wherein in Dynamics 365 client for outlook we are able to see track icon. In order to check that if email is tracked or not.


 


 


Detailed steps:


1. Logged in as a CRM user in OWA or Desktop Outlook


2. To check if email is track,need to open email and click on Dynamics 365 app for outlook icon


3. If email is tracked it will show as track, if not it will give us the option to track


 


Ask:


User should be able to see an "icon" to know if the email is tracked or not as it shows in Dynamics 365 Client for Outlook

Hi Henrik,

Great question. I tried applying all the defaults for the compact view to include the special crmLinkState column but it appears each sub folder doesn't adopt the crmLinkState number property correctly. I than had to remove the column from each sub folder and re-add it as per my workaround instructions below for it to work correctly. Hate to say it but I think we found an Outlook bug.

You would think by adding a Column to Compact view it should default all folders which are using compact view to use those options but it appears it doesn't.

In our workplace we only require the Inbox folder and Sent Items folders to be able to see that it's been tracked correctly.

I can understand however this might not work for everyone as some people file things away in folders which also when viewed require to know if it's been tracked or not. I found I could make those folders work by changing the view on them but this is very combersome if you have a million folders.

Would be great if Microsoft can automatically add the "crmLinkState" column property to Outlook automatically without us having to do it using the dirty little work around below. That's what the Legacy Dynamics Outlook Client used to do and it did it well.

Sorry Henrik. Only answer I have for you is to add the crmLinkState column to all folders you require it in and apply the conditional formatting to it.

If I discover some more workarounds in the interim will be sure to share them.

The functionality is there IF the email originates from Dynamics (with the new category for Tracked to Dynamics 365). What isn't there is if you are sending an email from Outlook and tracking it from there (either before or after sending). Having the category that half-works is even worse than not having any category at all. It creates a false illusion to users that this is working as expected, yet a load of emails end up with no tracking category on it at all. This can cause emails to be tracked to Dynamics multiple times and just causes too much confusion.

@George - Thank you for the post of the "workaround" - It's at least a way to visualise the tracking status of emails in an inbox.

I agree though - This needs to be an urgent roadmap item for Microsoft to address.

It is very important for my Users to know which emails are being tracked in CRM. This is a barrier to our adoption of the App for Outlook.

I echo everyone else's feedbacks particularly the missing of the tracking icon, being slow and inconsistent. Really hope the Product Team can hear the noises but put this into serious consideration. I just can't see users switch to this app when the Outlook client is deprecated.

I believe the functionality was added recently. At least I have little people icons now for my tracked emails, they look slightly different than they used to as well.

Thanks for the workaround - this was really appreciated!

But one question: when I modify a view (i.e. the "Compact") - shouldn't it then apply to all folders, where I use the "Compact" view? In my case it seems that I need to make your workaround to each folder, since the view changes do not apply to other folders using the same view.

Any insight on this issue??

I could not agree more with this request.  Was very disappointed to see that icon is no longer there once you enabled the App for Outlook.

Have just installed this app to test it before unleasing on our customers.  Very disappointed - 4 main issues:

1.  Does not show which emails have been tracked.

2. Can only file individually, not as with previously plug-in where you can tag a lot of emails and have them all file.

3.  Only files against accounts, contacts, leads and opps.  There seems to be some ability to file against active records but it's a mystery as to how those are selected.

4.  Slow.
